Duplicate Products

Summary

🔍 Find Duplicates: The Duplicate Products page in the backoffice lists products that exist more than once on your account.

⚠️ Why It Matters: Duplicates can end up with different allergen information, so the same item could print with different allergens at different sites.

🧹 Tidy Up: Keep one shared product with the correct allergens and deactivate the copies.

Detailed Step-by-Step Summary: Duplicate Products

How Duplicates Happen

  • Created Twice: The same product is often created once in the backoffice and again on a device, or on two different devices.
  • Allergen Mismatches: If one copy is updated and the other isn't, staff may print labels with out-of-date allergen information.

Finding Duplicates

  • Opening the Page: In the backoffice, click Duplicate Products in the left-hand menu. The page lists products with the same name, even if the capitals differ (for example "Mash" and "MASH") or they're in different categories. Use the drop-downs at the top right to switch between active and inactive products, and between prep and sale.
  • Checking the Copies: The Ingredients / Allergens column shows where copies differ, for example one "Mash" listing Milk and Sulphites and another listing only Milk. Click a category name to open that copy and check its custom allergens, may contain and expiry rules. The History section on each product shows who changed it and when.

Fixing Duplicates

  1. Choose the copy to keep, ideally a global product (name in dark text) so it can be managed in one place. If the copy you want to keep is an on-device product (name in blue), tick it, click Update 1 item, then Make Global.
  2. Make sure its allergens and details are correct.
  3. Check its category is assigned to every device that needs it.
  4. Deactivate the other copies: tick them on the Duplicate Products page, click Update [x] items at the top, then Deactivate. See Deactivating and reactivating products and categories.

Avoiding Duplicates

  • Search First: Before creating a product, search for it on the device or in the backoffice.
  • Create Centrally: On multi-site accounts, create products in the backoffice and share them, rather than creating them on each device.

By keeping one copy of each product, you can be confident every site prints the same, correct allergen information.
