Detailed Step-by-Step Summary: Prep Label Creation and Printing

Introduction to Prep Label Creation

  • User Profile Permissions: Ensure you are logged in as a Super User or Manager, as only these profiles have the necessary permissions to create and edit prep labels. User Managers or Print Only users do not have these permissions.
Step 1: Creating a Category
  • Starting Fresh: On a new account, the device will show “No categories found” when first turned on. Begin by clicking the plus button to create a new category.
  • Naming the Category: Enter a name for the category, such as “Soups.” Categories are customizable based on your establishment’s needs, such as “Meats,” “Dairy,” or “Sauces.”
Step 2: Adding a Product
  • Within the Category: After creating a category, tap / select it to view the product list. Since this is a new setup, there will be no products yet.
  • Creating a Product: Click the plus button to open the product creation menu. Enter the product name, for example, “Tomato Soup.”
  • Defining Expiry Rules: You can set a specific expiry rule (custom expiry rule) for the product or leave it off so the expiry is determined by the storage location. For instance, “Tomato Soup” could have a 3-day life as a custom and selecting different storage locations won't affect this. If you leave custom expiry rules off on the product, this will keep the calculation dynamic and determined by where the product is being stored.
Step 3: Adding Allergens and Custom Information
  • Allergen Selection: Add any relevant allergens, such as celery for “Tomato Soup.” You can also include custom allergen information or “May Contain” warnings.
  • Custom Labels: You have the option to add specific details like batch codes or custom allergen information for better accuracy.
Step 4: Printing the Label
  • Setting Print Options: Before printing, you can adjust the number of labels, override expiry dates, or add batch codes. You can also include additional details like the weekday prefix to the date.
  • Label Preview: Once printed, the label will display the product name, expiry date, print date and time, storage location, allergens, batch codes, and user initials.
  • On prep labels, there will also be a Labl.it supplied barcode displayed. This barcode cannot be used with POS systems, but it can be scanned with the device itself for wastage reporting or managing the product reports.
Editing Existing Products
  • On-Device Edits: You can edit products directly on the device by pressing and holding the product name. Changes such as removing allergens are saved immediately.
  • Editing Restrictions: Be aware that products shared across multiple devices may have editing restrictions to prevent changes that could affect other users. If your category / product has a lock symbol in the bottom right of the box, this means it is managed on the backoffice web portal and you will need to ask a member of the kitchen admin team to make changes for you. This applies to all user types on the device if a category is locked.
