Detailed Step-by-Step Summary: Backoffice Reports
Introduction to Backoffice Reports
- Types of Reports: The backoffice gives you two key reports: the print log and the expiry report. They mirror the reports on the device, so you can check them from anywhere.
Accessing the Reports
- Navigating to Reports: Once logged in, click Reports in the left-hand menu, then switch between Print log and Expiry report using the buttons at the top. Use Select location to choose which venue or device to view.
Understanding the Print Log
- Print Log Details: A record of everything that's been printed, including the product name, date and time of printing, and the user who printed it. It shows the last 2 days by default; use the Date filter to see further back. A storage location shown in red with "(override)" means it was changed when printing. Initials marked "(Scan Re-print)" or "(Log Re-print)" show the label was reprinted by scanning or from the log.
Understanding the Expiry Report
- Expiry Report Details: Shows which products are due to expire today. Change the date to see other days.
Applying Filters
- Filter by Criteria: Click Filter and choose Product, Storage, Initials, Date or Device. Add more filters to narrow it down further, for example one user's prints on one device. The Date filter can cover a range of dates. Click Clear to remove all filters. The same filters work on the wastage report.
Exporting Reports
- Export to CSV: Click Export and the report is sent to the email address linked to your backoffice account, with instructions to download it as a CSV file you can open in Excel or other spreadsheet programs.
Hidden Labels
- Showing Hidden Labels: Labels hidden on the device, for example with Hide From Expiry, only appear on backoffice reports, struck through, when Show hidden labels in logs is switched on in Settings.
Daily Expiry Report Email
- Setting Up the Email: Each device can email its expiry report every day. Go to Devices and open the device. In the Device info box, click the three dots, then edit Daily expiry report email with the address it should go to. Repeat for each device. It shows "Not Set" until an address is added.
- Wastage Report: A daily wastage report can also be emailed. See Wastage Reporting.
By using these features, you can manage and analyse your labelling data with the flexibility to filter, export and receive reports automatically.
