Detailed Step-by-Step Summary: Scan Functionality

Introduction to Scanning

  • Scan Functionality Overview: Scanning lets you manage labels you've already printed, so your print log and expiry report stay accurate.
  • Button Location: On V2S and V3 devices, use the dedicated scan button on the side. On V2PRO devices, use the lower part of the volume button. Not sure which model you have? See Identifying your device model.

Step 1: Activating the Scan

  • Press the Scan Button: The red scan beam and flashlight switch on together. Point the beam at the barcode on the bottom of the prep label. You can scan from any print screen.

Step 2: Choosing an Option

Once the label is scanned, it opens with these options:

Option

None

Whether you see Misprint or Delete depends on the Enforce marking labels as misprinted setting in the backoffice.

Step 3: Updating the Expiry Date

  • Changing the Date: Before reprinting, tap the use by date to choose a new one. This is only possible if expiry override is allowed for your role in backoffice Settings.
  • Keeping the Original Date: By default, a reprint copies the original expiry date, which is useful when decanting into new containers.

Using EAN-13 Barcodes

  1. Add the product's EAN-13 barcode number to the prep or sale product, either in the backoffice or on the device.
  2. Scan any barcode carrying the same number.
  3. The label for that product displays on the device, ready to print.

The scanner only recognises real EAN-13 barcodes, and only once they've been added to a product. Other barcode types, and EAN-13 barcodes not linked to a product, won't be recognised.

Scan to Print Mode

Scan to Print is for quickly relabelling items with a new expiry date. It appears on the device's main menu when it's switched on in backoffice Settings.

  1. Select Scan to Print from the main menu.
  2. Choose the expiry date for the new labels.
  3. Scan a label. The new label prints instantly with a reprint flag.
  4. Keep scanning to relabel more items with the same date.

For one-off reprints, use the standard scan from the print screen instead.

Settings That Change Scanning

Your backoffice Manager can change how scanning works in Settings:

Setting

Enforce marking labels as misprinted

On: the option is Misprint. Off: it becomes a red Delete button

By following these steps, you can use scanning to manage labels, keep your print log and expiry report up to date, and make sure labels show accurate expiry dates.

Please note: Labl.it prep label barcodes can be scanned by the device for reports and wastage, but can't be used with POS systems.
